Share Plan Associate (0165)

The Role

We are looking to recruit a Share Plan Associate to work as part of Shareholder Services within our head office in London. As an Associate, you will work alongside the Group Share Plan Manager in providing share plan management and administration services. Part of your role will be to maintain the share register and ensure accuracy at all times as well as manage the administration of physical share certificates. Ideally, you will be ICSA Cert.ESP qualified or working towards a similar qualification. You will be highly organized as well as being numerate.

  • Processing share buy/sell orders in a timely and accurate manner
  • Managing share buy/sell documentation in accordance with best practice standards for private companies
  • Maintenance of share register data to ensure accuracy at all times


  • Discretionary share plan administration, including but not limited to:
  • Managing the administration of grants (preparation of schedules, calculation of award values, production of grant documentation)
  • Managing the administration of vestings/maturities
  • Processing share award exercises & transfers in a timely and accurate manner
  • Liaison with global payrolls to ensure correct tax treatment applied to share option exercises
  • Managing the processing of leavers
  • Issuing employee/participant/shareholder communications
  • Responding to employee/participant/shareholder queries
  • Data cleanse management including but not limited to: address data flows between HR, external providers and the share register
  • Working with the trustee of the employee benefit trust to ensure timely management of trust holdings
  • Employee benefit trust accounts reconciliation
  • Reporting and analysis, both regular and ad hoc
  • Assist with the year-end audit
  • Assist with tax return preparation
  • Ensuring share plan rules and administration remain consistent with best practice standards and any legislative requirements
  • Contribution towards any ad-hoc department projects

Skills & Qualifications

The ideal applicant will have previous share Plan administration experience and be able to demonstrate:

 Ideally, ICSA Cert.ESP qualification or working towards

  • A willingness to take ownership and work to high quality standards
  • A good understanding of (executive) share plans
  • Practical share plan management and administration experience
  • Comprehensive experience of administering the day-to-day running of share plans
  • Well-developed stakeholder, project management and interpersonal skills
  • High professional standards and excellent judgement
  • Self-motivated, problem solving, decision making skills
  • Excellent computer literacy, with intermediate to advanced Microsoft Excel skills
  • High levels of numeracy
  • Excellent communication skills, especially written English
  • Good interpersonal skills required (tact, honesty, integrity, confidentiality, patience and ability to get on well with all levels of employees)
  • Accuracy and attention to detail essential

Established in 1783, ED&F Man is an employee-owned agricultural commodities merchant with 7,000 people in 60 countries and annual revenue in excess of $10bn.  We trade sugar, coffee, molasses, animal feed, grains and pulses. We help our counterparties manage price risk through hedging and provide access to commodity and capital markets through our brokerage business.

We source, store, process, ship and distribute agricultural products including sugar, coffee, molasses, animal feed, grains and pulses. Each year we trade 11m bags of coffee, 11m tonnes of sugar and 6m tonnes of animal feed. We work closely with our customers and suppliers and help our counterparties manage price risk through hedging.
